The one question that matters
Every Schengen visa guide starts with a document checklist. This one starts with the question the consulate is actually trying to answer: Will this person leave?
Your bank balance, your leave letter, your hotel bookings - every document exists to answer that one question. Once you understand that, the entire application starts to make sense.
Which consulate do you apply to?
You apply to the consulate of the country where you spend the most nights. If you're spending 5 nights in France and 3 in Italy, you apply to the French consulate.
If nights are equal, apply to the country of your first entry. This is EU Regulation 810/2009, Article 5 - not a guideline, a rule.
Getting this wrong means an automatic rejection, regardless of how strong your application is.
The document checklist (the real one)
Identity and travel:
Valid passport - minimum 6 months validity beyond your travel dates, at least 2 blank pages
Previous passports showing past travel history
Visa application form - filled online via the consulate's official portal
Two recent passport photographs - 35mm x 45mm, white background, taken within the last 6 months
Financial proof:
Bank statements for the last 3–6 months - the consulate wants to see a stable pattern, not a lump sum deposited last week
ITR (Income Tax Return) for the last 2-3 years if self-employed
Salary slips for the last 3 months if salaried
If someone else is sponsoring your trip, a sponsorship letter and their financial documents
Travel intent:
Confirmed flight bookings - many agents book refundable tickets for the application, cancel after visa
Hotel bookings or accommodation proof for every night - Airbnb confirmations are accepted
Travel insurance - minimum €30,000 coverage, valid across all Schengen countries for the entire duration
Ties to India (the most important category):
Leave letter from employer confirming you will return to your job
Property documents - ownership of a home is strong proof of ties
Family ties - dependants in India
Business registration documents if self-employed
What actually gets applications rejected
Based on patterns across hundreds of Indian applicants, these are the real reasons - not the ones consulates state officially.
Insufficient ties to India. This is the most common reason for first-time applicants. The consulate isn't convinced you'll come back. A strong job letter, property ownership, or dependants dramatically improve your odds.
Inconsistent financials. A large deposit made 2 weeks before the application is a red flag. Consulates want to see money that was already there - 3 to 6 months of consistent statements with a healthy average balance.
Wrong consulate. Applying to the Italian consulate when your longest stay is in France is an automatic rejection.
Travel insurance gaps. Coverage that starts the day after you land, or doesn't cover all Schengen countries, or falls below €30,000 - any of these can reject an otherwise strong application.
No prior visa history. Not a dealbreaker, but first-time applicants face higher scrutiny. A US, UK, or Australian visa in your passport significantly helps - it signals another developed country has already cleared you.
How long does it take?
Processing times vary by consulate and season. The French and German consulates in Mumbai and Delhi are typically 10-15 working days. In peak season (April-June, October), this can stretch to 3-4 weeks.
Apply a minimum of 6 weeks before travel. The consulate can legally hold your application for up to 15 working days without explanation.
